Rental Terms & Conditions
At RLD Event Rentals, we are committed to providing reliable, professional event rental services while maintaining the highest standards of customer service, equipment care, and safety.
The following Terms & Conditions outline our policies regarding reservations, payments, cancellations, rescheduling, weather conditions, equipment use, delivery, pickup, and customer responsibilities.
By booking rental equipment or services with RLD Event Rentals and accepting these terms during the reservation process, customers agree to the applicable policies outlined below.
1. Reservations & Non-Refundable Deposits
A reservation deposit is required to secure rental equipment and reserve an event date.
Deposits are applied toward the total rental balance and compensate RLD Event Rentals for reserving inventory, allocating scheduling capacity, administrative processing, and event preparation.
All deposits are non-refundable for customer-initiated cancellations, except where otherwise required by applicable law.
Reservations are not confirmed until the required deposit has been received and accepted by RLD Event Rentals.
2. Cancellations & Rescheduling
All customer-initiated cancellations are subject to our non-refundable payment policy.
Reservation deposits are non-refundable.
Additional payments made toward a canceled reservation are also non-refundable, subject to applicable law.
Customers may request one event date change, subject to availability and approval by RLD Event Rentals.
Rescheduling requests must be made within a reasonable timeframe before the scheduled event.
Date changes are not guaranteed and may be subject to additional charges.
Any approved rescheduling must be confirmed by RLD Event Rentals.
3. Weather Conditions & Safety Policy
The safety of our customers, guests, employees, and surrounding property is our highest priority.
All outdoor rental equipment and installations are subject to safe weather and environmental conditions.
Unsafe conditions may include, but are not limited to:
High winds and sudden wind gusts.
Forecasted hazardous weather during the rental period.
Rain, thunderstorms, lightning, or severe weather.
Unstable ground, flooding, or unsafe installation surfaces.
Inadequate anchoring or other hazardous site conditions.
RLD Event Rentals reserves final authority to determine whether rental equipment can be safely installed, operated, or remain in service.
We reserve the right to delay, modify, refuse, cancel, or discontinue installations when conditions are unsafe or reasonably expected to become unsafe.
Safety decisions are made based on weather forecasts, manufacturer guidelines, equipment limitations, and site conditions.
Customer requests or willingness to accept risk do not override our safety decisions.
4. Canopy & Tent Installation Policy
All canopy and tent installations are strictly weather-dependent.
High winds and sudden gusts can cause significant damage to canopy covers, frames, and anchoring systems, potentially creating serious safety hazards.
RLD Event Rentals will not install canopies or tents when current or forecasted conditions are determined to be unsafe.
This applies even when conditions appear calm at the time of installation but hazardous weather is expected during the rental period.
If unsafe weather develops after installation, RLD Event Rentals may require immediate discontinuation of use, evacuation, or early removal of the canopy.
Customers may not relocate, modify, or remove anchoring components from installed canopy structures without authorization.
5. Inflatable Bounce Houses, Jumpers & Water Slides
All inflatable equipment rentals are subject to weather and safety restrictions.
Inflatable equipment will not be installed during rain, unsafe winds, thunderstorms, lightning, or other hazardous conditions.
Inflatables are intended for approved residential locations unless otherwise authorized by RLD Event Rentals.
Customers are responsible for providing continuous adult supervision while inflatable equipment is in use.
Customers must:
Follow all provided operating and safety instructions.
Observe occupancy, age, height, and weight restrictions.
Prevent overcrowding, rough play, and unauthorized use.
Maintain required electrical connections and blower operation.
Immediately discontinue use during unsafe weather or equipment malfunction.
Contact RLD Event Rentals promptly if equipment becomes unsafe.
Water slides and other wet-use inflatables must be operated according to their intended design and manufacturer instructions.
RLD Event Rentals reserves the right to refuse installation or discontinue use when safety requirements cannot be met.
6. Weather-Related Cancellations & Refunds
Equipment Not Installed
If RLD Event Rentals determines that a canopy, tent, or inflatable cannot be safely installed due to unsafe weather conditions:
Customers will not be charged for the affected rental.
Payments specifically allocated to the canceled equipment, including any applicable deposit, will be refunded.
Other rental equipment may still be delivered as scheduled when conditions permit.
Delivery fees may be adjusted when only part of the original reservation is fulfilled.
Equipment Already Installed
Once rental equipment has been delivered and installed, the rental service is considered performed for purposes of weather-related cancellations.
If unsafe weather develops after installation and requires equipment use to stop or equipment to be removed early:
No refunds will be issued solely due to weather-related interruptions or early removal, except where required by applicable law.
RLD Event Rentals may offer a future rental credit at its discretion.
Credits are evaluated on a case-by-case basis and are not guaranteed.
Safety requirements remain in effect regardless of whether a refund or credit is available.
7. Delivery, Setup & Pickup
Delivery, setup, and pickup services are scheduled according to the customer’s confirmed reservation.
Delivery and pickup windows may be adjusted due to weather, traffic, accessibility, safety concerns, or operational requirements.
Customers are responsible for providing safe, reasonable access to the delivery and pickup locations.
Installation areas must be clear of obstructions, vehicles, pets, and other hazards.
Customers must identify underground utilities, irrigation lines, or concealed hazards that may affect installation.
If equipment is inaccessible during scheduled pickup, additional labor, waiting, or return-trip fees may apply based on the additional services required and the agreed booking terms.
8. Payment Terms
Remaining rental balances are due at or before delivery, prior to equipment setup, unless alternative payment arrangements have been approved in writing.
RLD Event Rentals reserves the right to withhold delivery or installation until required payments have been received.
Additional equipment or services requested after the original reservation may result in additional charges.
9. Equipment Care, Damage & Replacement Costs
Customers are responsible for exercising reasonable care over rental equipment during the rental period.
Equipment must be returned in substantially the same condition in which it was delivered, excluding normal wear and tear.
Customers may be responsible for damage, loss, or theft attributable to their misuse, negligence, unauthorized alterations, or failure to follow provided instructions, subject to applicable law.
Damage Assessment & Replacement Charges
RLD Event Rentals will inspect and assess equipment damage or loss following pickup.
Repairable damage may result in reasonable repair charges.
Lost, stolen, destroyed, or irreparably damaged equipment may be charged at actual replacement cost.
Damage assessments may be supported by photographs, inspection records, and replacement documentation.
An itemized invoice will be issued for applicable damage or replacement charges.
Payment is due upon receipt of the invoice, subject to applicable law and review of any disputed charges.
Normal wear and tear from proper equipment use is excluded.
10. Customer Responsibilities & Safe Equipment Use
Customers agree to use all rental equipment only for its intended purpose and in accordance with provided safety instructions.
Customers must not relocate, modify, dismantle, or improperly operate equipment without authorization.
Customers are responsible for required supervision, reasonable equipment care, and promptly reporting unsafe conditions, damage, or malfunctions.
Equipment use must immediately stop whenever conditions become unsafe.
RLD Event Rentals reserves the right to take appropriate safety-related action when equipment is being used improperly or presents a hazard.
11. Policy Updates & Acceptance
RLD Event Rentals may update these Terms & Conditions periodically to reflect operational, safety, or legal requirements.
The version applicable to a reservation will be the version provided to and accepted by the customer during the booking process, unless a later change is separately agreed upon or required by law.
These Terms & Conditions are intended to supplement the customer’s confirmed reservation and applicable rental agreement.
Nothing in these terms limits rights or protections that cannot lawfully be waived.
